Uploading Client & Prospect Portfolios

TIFIN Wealth allows advisors to upload client or prospect portfolios by building a model from scratch (manually entering tickers and weights) or by uploading a .csv file. The best practice for managing client portfolios is to setup an integration with your custodian, however, if your custodian is not available or you are using a prospect's portfolio, these tools come in handy.


Client Portfolio Upload Using an Upload File

  1. Navigate to Clients & Prospects > Select an Individual to upload their portfolio. Click the Download Sample File link to view the .csv template and required columns of data for a proper upload.

  2. The sample file will contain the following required fields:

    1. ticker

    2. shares

    3. accountNumber

    4. custodian

      Note: all fields are required. You can input a Custodian (i.e. SCHWAB, FID) or simply enter OTHER into each row in the Custodian column:

  3. Save your portfolio as a .csv file > jump back into TIFIN Wealth > click Upload File > select your saved portfolio file and upload it:

  4. Double check everything looks good > Click Submit:

  5. Use the dropdown at the top of the Portfolio Overview page to view each of the underlying portfolios within a client or prospect's account. This will also show the market value of all portfolios rolled up to the Account level.

    1. Click the trash can to delete a portfolio

    2. Upload another portfolio using the Add Account button

  6. To edit an existing portfolio > select the specific account from the All Accounts drop-down > navigate to the right and click Edit Portfolio to adjust the Tickers or Shares.


Uploading Multiple Portfolios at Once

Uploading two or more client portfolios at the same time follows the same steps as uploading a single portfolio, simply ensure that each portfolio has a unique accountNumber and you're all set.

  1. Navigate to Clients & Prospects > Select an Individual to upload their portfolio > Download the Sample File.

  2. Add multiple portfolios at the same time by filling in data in all required columns and ensuring the account numbers between the portfolios are unique:

  3. Review the data for accuracy > Click Submit:

  4. Each portfolio can be viewed and edited independently using the All Accounts dropdown. This will also show the market value of all portfolios rolled up to the Account level.


Building a Portfolio from Scratch

To manually create a client portfolio by searching and inputting the tickers and shares or weights, follow the steps below:

  1. Navigate to Clients & Prospects > Select an Individual to upload their portfolio > click Create under Build Portfolio:

  2. You have the option to build the portfolio using Shares, Market Value, or Weights

  3. Use the Type Ahead to search for a company or ticker > Click the dropdown to select the security > enter the shares, market value, or weight depending on which option you have selected >click Add:

    1. Note: to add a Cash position to the portfolio, use the symbol $CASH.

  4. After you've entered all the holdings > click Save > give the portfolio a name (which does not have to be an account number)


Portfolio Upload FAQs

Can I edit a client's account or portfolio name?

  • Unfortunately, we do not support this functionality as this time

Can I delete a client or prospect portfolio within their account?

  • Yes and no. If the account was manually created or uploaded, yes you can delete the account by clicking the trash can icon next to the portfolio in the All Accounts dropdown menu. If the portfolio has come over from an integration, then no, this account cannot be deleted or removed from the account.

How do fixed income securities get assigned risk scores?

  • If the portfolio is coming over from an integration (Schwab, Fidelity, etc.), TIFIN Wealth will automatically assign those securities a risk score based on their asset class type.

  • If you have manually created a portfolio that contains fixed income securities or "unrecognized securities", you first must create a proxy override to use the file upload workflow for adding the portfolio. The "create from scratch" option will not work for portfolios with unrecognized securities.

Can I separate out my client accounts?

  • You can view and analyze risk scores, holdings, and performance on individual portfolios within the overall client account by selecting the individual sleeve within the drop down:

  • You cannot split accounts or "unmerge" accounts. For example, if a client has 5 accounts coming over from a custodian integration and you want to separate out one of those into a separate client record... this functionality is not supported at this time.
